As a Medtronic Executive Administrative Assistant, you will be part of a dynamic and fun team that drives business growth and efficiencies through innovation. This role will be based in our Operational Headquarters located in Fridley, Minnesota office with some flexibility in working remotely approximately 1 day per week based on business needs. The position’s primary focus is to provide expert executive-level administrative support to the VP of Business Partnerships and VP of EHS. CAREERS THAT CHANGE LIVES Manage the overall Global Business Partnerships Team (i.e. weekly, monthly, quarterly, and annual mtgs., town halls, team communications, strategy documents, action item tracking, team building and community events, etc.) Provide administrative support including maintaining calendars, meeting and conference coordination, travel coordination (domestic and international), submitting expense reports, preparing communications, and ordering supplies Create meeting minutes, manage agendas, and track actions Perform a wide variety of non-routine administrative tasks including supporting periodic special projects or assignments Gather, compile and report on information relevant to VP’s assignments (Organizational Health Survey analytics, training completion performance, etc.) Use problem solving skills for process improvement in systems, processes, and communications Process invoices and purchase orders Assist with onboarding new, direct staff members and provide into overall extended team onboarding program Manage logistics for quarterly strategic meetings at various global sites, including content preparation, catering, ensuring AV set-up, and venue bookings Coordinate with HR, TA, and Hiring Leader to schedule interviews for staff level department openings Maintain current org charts, and email distribution lists Effectively manage scheduling with internal and external / third party partners (i.e. Software companies, 3PL’s, Transportation/Logistics Carriers, etc.) MUST HAVE (Minimum Requirements) High School Diploma or equivalent with 6+ years of administrative support experience NICE TO HAVE (Preferred Qualifications) Ability to collaborate with others to achieve goals, while building rapport internally and externally Strong organization, technical, and communication skills (both written and verbal) Expert working knowledge of Microsoft Office suite (e.g., PowerPoint, Word, Excel, Outlook) Associates or Bachelor’s degree Technical aptitude including an expert in Microsoft Tools, including Teams for meetings and PowerPoint with the ability to create meeting slides & follow-ups with team members to receive content on time Proven experience supporting projects and multi-tasking several priorities/projects/resources Ability to thrive in a dynamic team environment and professionally deal with various interruptions Experience working with confidential, trusted information Proven drive for results and responsiveness High degree of self-initiative and ability to quickly learn to handle a wide range of projects, tasks, and issues in original ways Strong influence and communication skills with all levels of an organization and external business contacts Ability to travel 4-5 times per year (approximately 10-12 days annually) For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.
