1. About This Privacy Policy

This Privacy Policy explains how ActiveJobs ("we", "us", "our") collects, uses, and protects your personal data when you use this website. We operate ActiveJobs as a direct-to-company job aggregator: we surface vacancies published on companies' own career pages and link you directly to those companies' application pages.

We are committed to handling your data lawfully, fairly, and transparently in accordance with the EU General Data Protection Regulation (GDPR) and equivalent legislation.

2. Personal Data We Process

We currently collect only the minimum data needed to provide the service. User accounts and job-alert features are not active at this time, so we do not collect account credentials or alert preferences. The personal data we do process is limited to:

  • Usage data: anonymous counts of job views and outbound Apply clicks, plus self-reported confirmations from the "Did you apply?" prompt. These counters are per-job and are never linked to an individual.
  • Report submissions: when you flag a job listing as illegal or improper, we store your name, corporate email, a reference number, and your comments so we can act on the report.
  • Technical data: standard server log information such as IP address, browser type, and request timestamps, used only for security, debugging, and rate-limiting.

We do not sell your data, run third-party ad networks, or operate a CV/resume database.

3. How We Collect Personal Data

We collect data in two ways:

  • Directly from you when you submit a report via the "Report" button on a job card.
  • Automatically via your interactions (page views, Apply-click events, server logs).

Job listings themselves are gathered from companies' public career pages and applicant tracking systems (Greenhouse, Lever, Workday, etc.) by our automated indexer. This data relates to the job, not to you.

4. Lawful Bases for Processing

  • Legitimate interests: aggregate analytics, fraud prevention, and securing the platform.
  • Consent: for any optional cookies and for marketing communications (none currently sent).
  • Legal obligation: when we must retain or disclose data to comply with the law.

5. How We Use Your Personal Data

  • To improve the service via aggregate, non-identifying engagement metrics (view and apply-click counts on each job).
  • To investigate reports filed via the "Report" feature.
  • To meet our legal obligations.

6. Disclosure of Personal Data

We do not share your personal data with third parties for marketing. Limited disclosure may occur to:

  • Infrastructure providers: our hosting provider processes data on our behalf under contract.
  • Law enforcement or regulators where required by a valid legal process.

When you click "Apply on Company Site", you leave ActiveJobs and any data you provide on the company's page is governed by that company's own privacy policy. We have no visibility into what you submit there.

7. International Data Transfers

Your personal data is stored on servers operated by our hosting provider. If data is transferred outside the European Economic Area, we rely on appropriate safeguards (Standard Contractual Clauses or equivalent).

8. Data Security

We protect your data with industry-standard measures: HTTPS for transport, parameterised database access to prevent injection, and limited access on a need-to-know basis. No method of transmission or storage is 100% secure; we cannot guarantee absolute security but we work hard to minimise risk.

9. Cookies and Local Storage

ActiveJobs uses browser localStorage for saved jobs and for tracking the "Did you apply?" prompt. We do not use third-party advertising or analytics cookies. See our Cookies Policy for details.

10. Data Retention

  • Job listings: kept while active on the source company's page; marked inactive when removed, and pruned periodically.
  • Reports: retained for up to 24 months after resolution for audit purposes.
  • Server logs: rotated and discarded within 90 days.

11. Data Deletion Requests

If you have submitted a report and wish to have your personal data removed from our records, contact us at the address below. We will action valid deletion requests within 30 days, except where retention is required by law.

12. Your Rights

Under GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure ("right to be forgotten")
  • Restrict or object to processing
  • Data portability
  • Withdraw consent at any time
  • Lodge a complaint with your local Data Protection Authority (in Ireland, the Data Protection Commission)

13. Children

ActiveJobs is not intended for users under the age of 16. We do not knowingly collect personal data from children. If you believe we have, please contact us and we will delete it.

14. Changes to This Policy

We may update this Policy from time to time. Material changes will be signalled by updating the "Effective date" at the top of this page and, where appropriate, by direct notification.
