The PositionThe Opportunity The primary purpose of the Event Coordinator is to ensure the project coordination and provide administrative support to the team members, in terms of events and meetings management with external stakeholders. Handling national and international events and acting in line with Roche Standard Operating Procedures and Policies. Main Responsibilities - Organize and coordinate international and national events logistics - Communicate between team members and external partners (HCPs, HCOs, vendors…) about evolving requirements and planning. - Handle logistics and administrative tasks such as conducting meetings, facilitating collaboration, and eliminating hurdles affecting project progress. - Setting, communicating and maintaining timelines and priorities on each event - Administrative support to team members (event initiators) for request and post-event task - Collaboration with the Procurement and Finance team for third party selection/creation/due diligence, and payment. - Ensure good record management of all the promotional and non promotional activities - Ensure contracts are executed until service delivery and partners payment - Ensure the collection of documents to be submitted for signature by the authorized internal signatories and external where required - Ensure communication of events internally and externally - Ensure adherence to relevant SOPs and policies - Collaborate with Compliance to the periodic monitoring and contribute on the corrective and preventive action Who you are Required Education and Expertise - University degree is required. - Written and spoken French / Good level of English is a plus - Strong master of software applications (excel, word and PowerPoint) Required Competencies and Skills - Strong organization skills, time and priority management - Good communication and negotiation skills - Open-minded and flexible with a high sense of integrity - Strong team player - Customer service orientated - Entrepreneurial spirit with strong partnership skills - Ability to learn and self-challenge quickly, take risks and experiment, and contribute to the learning cycle by sharing knowledge with others inside and outside - Autonomous and altruistic in supporting the global network - Facilitator leveraging internal and external networks to create value, share and scale.
