Job Description Essential function(s) includes, but is not limited to: Our Global Workplace and Enterprise Services (GWES) team provides safe, reliable, and compliant facilities and utility support for research, manufacturing, and business operations. The GWES Maintenance Scheduler is responsible for developing and maintaining an executable maintenance schedule for assigned areas and crafts by aligning planned, ready work with labor capacity, equipment access, material availability, and site priorities. This role supports preventive, predictive, calibration, and corrective maintenance across laboratory, vivarium, utility, and administrative environments and ensures a healthy backlog of ready work is available to sustain schedule execution. Working in close partnership with planners, supervisors, crafts, operations, and customers, the Scheduler coordinates weekly and short-range schedules using risk-based and compliance-based priorities. The role is accountable for schedule accuracy, backlog visibility, and support of safe, efficient, and GMP-compliant work execution. In addition, the Scheduler may perform selected maintenance planning duties as business needs require. Primary Activities The primary activities of the scheduler include, but are not limited to, the following: Develop and maintain a forward-looking maintenance schedule, typically 1–4 weeks out, using only planned, ready-to-schedule work and available labor capacity. Coordinate with planners, supervisors, operations/manufacturing schedulers, and work requesters to confirm job readiness, labor availability, equipment access, materials, permits, and business priorities before committing work to the schedule. Lead scheduling pre-meetings and weekly scheduling meetings to align stakeholders on the fixed schedule, resolve constraints, and secure agreement on equipment availability and execution windows. Prioritize work in accordance with safety, GMP/GxP, environmental, quality, and business requirements, with emphasis on due preventive maintenance, critical calibrations, predictive maintenance findings, and risk-based corrective work. Manage the ready backlog by sequencing high-priority work first, incorporating associated or opportunistic work when downtime and resources allow, and removing duplicate, obsolete, or non-ready items from the schedule queue. Optimize schedule loading by craft and shift and recommend supplemental or off-shift labor needs to supervision when required to execute priority work safely and on time. Maintain accurate work order and schedule status in the CMMS and scheduling tools to support daily tier management, work assignment, schedule adherence, and backlog visibility. Attend daily tier meetings and collaborate with supervision and crafts to manage schedule breaks, reallocate workload as needed, and protect schedule compliance. Review notifications and work requests for completeness and proper prioritization and ensure work is routed appropriately into the planning and scheduling process. Monitor and report scheduling and execution KPIs such as schedule compliance, backlog health, PM completion, and reasons for schedule break-ins; use data to drive continuous improvement. Support site compliance by ensuring scheduling practices align with GMP, safety, environmental, and change control expectations, including management of overdue or extension-controlled work where applicable. Provide support during audits and regulatory inspections, and contribute to standard work, training, and continuous improvement of the maintenance work management process. Perform selected maintenance planning duties on a planned or temporary basis. This may include basic job scoping, verifying work order information, identifying required materials, ordering materials, coordinating with supervisors and crafts, confirming job readiness, and supporting the transition of planned work into the schedule. Skills, Education and Experience Education Minimum Requirement: Bachelor’s degree in science, engineering, or a related technical discipline, or equivalent relevant experience Required Experience and Skills: Minimum of three (3) years of experience in one or more of the following areas: maintenance, manufacturing, technical support, planning, scheduling, coordination, administration, or project support. Experience working with computerized maintenance management systems (CMMS), SAP, and database or spreadsheet tools used to manage work orders, schedules, and backlog data. Demonstrated ability to communicate effectively and collaborate across functions, including customers, operations, planners, supervisors, and craft personnel. Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. Ability to manage multiple priorities, maintain accurate records, and support execution of work in a fast-paced, regulated environment. Preferred Experience and Skills: Previous maintenance scheduling experience in a fast-paced GMP/GxP-regulated environment. Experience working within SAP PM, Hexagon, EAM, or Maximo CMMS systems. Experience performing or supporting maintenance planning functions, including job scoping, estimating labor requirements, identifying materials and ordering parts, developing job plans, confirming job readiness, and coordinating planned work with supervisors, crafts, and operations. Working knowledge of maintenance work management processes, including preventive maintenance, predictive maintenance, calibration, corrective maintenance, and ready backlog management. Experience supporting laboratories, production, utility, or facilities maintenance activities in regulated areas. Familiarity with KPI tracking and continuous improvement related to schedule compliance, backlog health, PM completion, or work management performance. Professional certifications such as CMRP, OSHA 10, or Lean/Six Sigma Green or Black Belt are preferred.
