Currently, we are looking for an ambitious Junior Project Coordinator to join our team. Whether you are a recent graduate or reskilling from another field, this is a great opportunity to take your first step into IT Project Management. We focus on potential over specific backgrounds, looking for individuals with the right drive, adaptability, and passion for learning to thrive within our international, agile environment. We offer a hybrid work model that combines flexibility with meaningful in-person collaboration. Currently, we expect employees to work from one of our Polish offices (Poznań or Warsaw) an average of two days per week, with specific days varying based on workshops, team meetings, and company events. Because this is a cross-site role, you should also be open to regular travel — including visits to Switzerland about once a month, along with more frequent travel between our Warsaw and Poznań hubs. Our Core Focus Areas: Strategy & Execution: Co-developing functional strategy and managing global budgets to turn vision into reality. Operational Intelligence: Delivering sophisticated, evidence-based insights to guide senior leadership decision-making. Shared Capabilities: Orchestrating a diverse portfolio of expertise to support and empower RDT sub-functions. Cross-Functional Synergy: Partnering across RDT functions as well as business partners in Finance, P&C and Procurement to drive seamless, end-to-end delivery. The Opportunity: As an integrated part of our PMO, your main focus will be supporting the daily operational and strategic management of our programs. Your key responsibilities will include: Meetings & Presentation Management: Setting up presentation decks, preparing agendas and materials, and collecting required information for key sessions (such as RDC, RDOT, and PMO meetings). Roadmap & Action Tracking: Maintaining the program roadmap, updating action logs from meeting notes, and ensuring action status screenshots are embedded into presentations. Documentation & Operational Support: Managing complex calendar schedules, granting tool accesses, and maintaining structured, versioned project documentation Reporting & Metrics: Preparing monthly status and risk reports in ServiceNow (SNOW), alongside maintaining KPIs, success metrics, and delivery progress indicators. Cross-team Collaboration: Drafting meeting minutes, handling ad-hoc requests from management, acting as a liaison with teams like the Data Foundation, and providing operational frameworks (scheduling, templates) for temporary "Squads". Financial Support: Assisting with budgeting and financial management activities as needed. Who you are: You are looking for your first professional experience in IT Project Management; a degree in Business, IT, or a related field is preferred, but having the right drive and motivation is strictly required. You are a proactive, highly organized individual ready to commit to a 1-year program and eagerly dive into hands-on PMO tasks, from calendar management to structuring documentation You are fluent in English (both written and spoken) to confidently communicate, draft accurate meeting minutes, and act as a liaison across our international teams (Required). You are highly flexible and adaptable; as a quick learner focused on personal growth, you can easily adjust to shifting priorities, ad-hoc requests, and a fast-paced environment (Required) Familiarity with project coordination and reporting tools (such as Monday.com, ServiceNow, or Google Workspace) and a basic understanding of financial tracking or KPI management is preferred. Compensation & BenefitsThe expected salary range for this position, based on the primary location of Warsaw Grafit is 90,300.00 PLN - 167,700.00 PLN . Final compensation will be determined by a number of factors, including your skills, experience, qualifications, and location. This position also offers an attractive benefits package.
