As our Learning and Business Operations Coordinator, your primary focus will be on delivering exceptional Business Support and Event/Workshop Coordination. Alongside this core responsibility, you will actively support our team in smooth Training Management operations and compliance-driven Documentation Management. Utilizing your consolidated expertise across various corporate tools and processes, you will directly contribute to the success of our Global Customer Support organization, course participants, trainers, and internal customers, ensuring our global and local teams are supported efficiently every day. Contribute actively to our day-to-day operations in a global setting Your Responsibilities: Business Support Event & Workshop Management: You will be the mastermind behind our GCS events and workshops. You will coordinate all logistical aspects, including venue selection, catering, accommodation arrangements, and vendor management, while collaborating closely with stakeholders to bring event specifications to life. Procurement: Handle the end-to-end ordering process for various corporate needs, including setting up new suppliers and efficiently coordinating approval workflows across stakeholders. Travel Coordination: Assist with international travel arrangements and provide timely guidance for travel within the EMEA region using our Travel Management System. Onboarding: Support the seamless onboarding of new team members Documentation Management Workflow Management: Set up and manage timely signature workflows for regulatory-relevant documents within our electronic Document Management System (eDMS) according to required specifications. Quality & Review: Review and modify documents with high accuracy, ensuring top-tier quality for all metadata entries in the eDMS. Subject Matter Expert: Act as the primary point of contact for all eDMS-related inquiries, serving as a trusted partner and advisor for the entire GCS organization. Cross-Department Collaboration: Support and collaborate with other departments to actively maintain data integrity and document quality. Training Management Course Coordination: Assist the team in organizing and managing local and global product and non-product training courses, ensuring smooth communication with internal and external stakeholders. LMS Administration: Handle course creation, participant registrations, training assignments, waitlist coordination, and prerequisite verification within the Learning Management System. Data Quality & Content: Maintain training metadata and ensure the availability of relevant training content to guarantee high data quality. Participant Assistance: Act as a helpful point of contact for training participants, assisting with logistical support, visa applications, and on-site support. First-Level Support: Provide reliable first-level troubleshooting and support for questions regarding DIA product training, and generate ad-hoc reports as requested Your Profile To be successful in this role, you should bring a strong mix of organizational talent, attention to detail, and a service-oriented mindset. Education & Experience: Professional Education: Successfully completed commercial vocational training or an equivalent educational background Professional Experience: At least two years of experience in business operations, event coordination, training management, ideally within a service-oriented corporate environment. Key Skills & Attributes: Organizational & Event Excellence: Strong organizational skills with a proven ability to manage event logistics, workshops, and business support processes independently and efficiently. Tool & Process Proficiency: Basic knowledge of the tools and processes required for the role (prior experience with DiaDoc, myBuy and Cornerstone platforms is highly advantageous). Accuracy & Reliability: A high standard for accuracy and quality, especially when handling compliance documentation and data entry. Customer & Service Orientation: A strong passion for helping others, managing stakeholder relationships, and delivering excellent internal service.
