Job Description The Associate Specialist, D&L Thailand plays a key role in enabling timely patient access by coordinating reliable, compliant in-market logistics and distribution operations. Working with internal teams and external partners, the role supports import/export, customs clearance, distribution, inventory accuracy and supplier billing. Overall objectives : Manage import, export, customs clearance, and distribution activities to ensure uninterrupted product supply: • Work with stakeholders and logistics partners to resolve operational issues and maintain compliance requirements. • Manage inventory, monitor logistics performance, improve processes, and control logistics costs Managing Import, Export processes including Trade Compliance (TC) : • Coordinate shipment plans, ETAs, lead-time inputs, customs clearance, testing, and quality release requirements. • Provide accurate customs documents to brokers, including declaration forms and HS code review inputs. • Track clearance and last-mile delivery issues, support timely resolution, and maintain complete, accessible records in line with the organization's policy. • Initiate duty/tax payment requests in SAP, confirm payment completion, review TC weekly audit reports, and follow corrective actions. • Support inbound damage/loss reporting, investigation, quality notification, insurance claims, and export return shipment to sites/suppliers through service providers. Supply Availability: • Support Tier reviews, Product supply forum, S&OP to ensure product availability and shipment updates. • Prepare weekly replenishment to distributor/s for direct purchase model, aligned with the organization's process. • Collaborate with various stakeholders and partners to resolve supply issues and support on-time arrivals. Inventory Management and Reconciliation : • Monitor short-dated and low shelf-life inventory, support escalations, and coordinate stock blocking where required. • Reconcile inventory between the organization, 3PLs, and distributors, investigate variances, and drive timely corrections. • Coordinate Ex-Company inventory transactions for free goods and samples, and support cycle/annual counts. • Witness destruction of verified unsaleable/expired stock, obtain destruction certificate, and update inventory. Quality, Compliance, Regulatory and Documentation Responsibilities : • Prepare inbound/outbound transaction data for submission to FDA / Revenue agencies. • Work partner functions to ensure customer license validity, RCR and redressing completion. • Maintain strong document retention for SCM activities and support self-inspection, broker/GFF, GDP, customs, revenue, and MCAAS audits. Finance and Supplier Billing Management : • Ensure advance PO creation before supplier service delivery. • Manage supplier invoice processing, accruals, and payment follow-up to ensure accurate and timely financial recording, approval, and settlement of logistics services. Qualification : Bachelor’s degree in Engineering, Pharmacy, Supply Chain, or a related field. MBA preferred. Quick learner to develop knowledge and skills on GDP/GMP, trade compliance, customs processes, SAP, Microsoft Office, Power BI, Power Automate, and AI tools. Proficiency in Thai and working knowledge of English, both written and verbal. Experience: Basic knowledge of supply chain, logistics, inventory, import/export, and compliance in a pharmaceutical company, with 0-2 years of relevant experience and a degree in Engineering, Pharmacy, or a related field.
