We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive support to the Head of Business Excellence Diagnostics and the Head of Quality Lab-Solutions (LS) within the Lab Diagnostics business. In this critical role, you will serve as a trusted partner, managing complex calendaring, coordinating detailed travel arrangements, handling expense reporting, and overseeing day-to-day administrative operations. This position requires exceptional attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced, confidential environment. You will collaborate across the global Siemens Healthineers organization and be expected to anticipate needs, think strategically, and offer practical solutions with a high level of professionalism and discretion. Success in this role depends on your strong interpersonal skills, collaborative mindset, and consistently positive, can-do attitude. Primary Responsibilities Include: Provide high-level calendar management for the Head of Business Excellence Diagnostics and the Head of Quality Lab Solutions, overseeing complex and frequently changing schedules across multiple time zones. Effectively prioritize competing demands, exercise sound judgment, and make informed recommendations to ensure seamless daily operations in a global environment. Perform a wide range of administrative responsibilities to support the Executives in leading the organization effectively. This includes managing special projects, assisting in the development of complex documents, reports, and presentations, preparing materials for internal and external meetings, drafting correspondence, coordinating detailed domestic and international travel, and completing accurate and timely expense reports. Ensure the Executives are well-informed of upcoming commitments and responsibilities, with timely follow-up and proactive anticipation of needs related to meetings, conferences, travel, and daily activities. Coordinate leadership team meetings and assist with broader staff meetings and events as needed. Develop meeting agendas, manage all logistics, document meeting minutes, track action items, and ensure timely follow-up. Collaborate closely with the Diagnostics Business Excellence and Quality Lab-Solutions leadership teams to align and coordinate key initiatives. Build strong working relationships, demonstrate credibility and trustworthiness, and serve as a reliable partner across the organization for scheduling, communication, travel, events, and project coordination. Perform other duties and special projects as assigned, adapting to evolving business needs with flexibility and professionalism. Required Knowledge/Skills, Education, and Experience Minimum of 5 years of experience as an Executive Assistant supporting senior executives in a fast-paced, dynamic environment. Proven ability to execute tasks efficiently, manage competing priorities, and drive results independently. Expert-level proficiency in Microsoft Office tools (Outlook, Excel, PowerPoint, Word) and other productivity platforms; skilled in designing, editing, and formatting professional presentations and materials. Excellent verbal and written communication skills, with the ability to communicate effectively across all levels of the organization. Exceptional organizational skills with impeccable attention to detail and accuracy. High level of professionalism when engaging with diverse and global stakeholder groups, including senior leadership, staff, external partners, and prospective talent. Strong ability to manage multiple tasks simultaneously, often under tight deadlines, while maintaining a high standard of quality. Capable of responding with appropriate urgency to time-sensitive matters and adapting quickly to shifting priorities. Demonstrates a high degree of integrity and discretion when handling sensitive or confidential information. The base pay range for this position is: $74,970 - $103,081 Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate. If this is a commission eligible position the commission eligibility will be in accordance with the terms of the Company's plan. Commissions are based on individual performance and/or company performance.
