About the role The Senior Dispatch Officer oversees daily local, upcountry, and export dispatch operations, manages warehousing activities, and maintains optimal stock accuracy. This role is responsible for executing systematic ERP transactions including Delivery Notes (DN) and invoicing while managing relationships with logistics vendors, shipping lines, and freight forwarders. The candidate will actively enforce strict safety standards, drive operational cost savings, ensure regulatory compliance, and support dispatch operations. Key Responsibilities: 1. Operational & Dispatch Management (Daily) Manage and supervise daily local station, upcountry, and export dispatch operations smoothly. Direct, control, and oversee day-to-day warehousing and dispatch activities. Systematic Transactions & Documentation: Process and generate outbound System Delivery Notes (DNs), Sales Invoices, Goods Issue Slips, and Gate Passes accurately in the ERP system prior to physical dispatch. Maintain daily coordination with internal teams, CS (Customer Service), and courier vendors regarding order dispatch updates. Track daily and monthly sales target achievements (volume and value). Maintain accurate records of all dispatch documents and ensure strict compliance with dispatch policies and documentation standards. 2. Health, Safety & Environment (HSE) & Compliance Ensure strict adherence to safe material handling, stacking, and loading/unloading practices in the warehouse and loading bays. Enforce personal protective equipment (PPE) guidelines and safety protocols for warehouse staff and third-party drivers. Conduct basic risk assessments for goods handling and ensure emergency exit paths and firefighting equipment remain clear and accessible. 3. Export & Special Operations (As Needed) Manage and coordinate exports from Pakistan via external distribution channels and freight forwarders as per requirements. Liaise with shipping lines, clearing agents, and internal resources to ensure timely export documentation and shipment execution. Execute and support disaster recovery project implementations on an ongoing basis. 4. Stock Control & Inventory Audit Perform system-based stock movements (transfers, issues, and adjustments) to maintain real-time inventory visibility. Conduct monthly and quarterly stock adjustments and reconciliations (Physical Stock vs. System Record Stock). Lead and take full responsibility for bi-annual (semi-annual) physical stock counting. 5. Team Leadership & Staff Management Supervise, guide, and train dispatch and warehouse staff on daily operational workflows and safety procedures. Monitor staff attendance and strictly control overtime activities on a daily and weekly basis. Develop and maintain a team back-up plan on a monthly basis to ensure uninterrupted operations. 6. Reporting & Cost Optimization Prepare and compile MDI (Management Decision Information) reports on a daily and weekly basis. Identify operational cost-saving opportunities and submit monthly Cost-Saving Reports to Finance and Supply Chain management. Drive continuous process improvements within the department to enhance overall operational efficiency. Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field. 3 to 5 years of proven experience in dispatch, logistics, and warehouse management (preferably handling exports and nationwide distribution). Hands-on experience with ERP/WMS systems (SAP, Oracle, or Dynamics) for generating invoices, delivery notes, and stock ledger updates. Advanced MS Excel skills for data reporting and inventory analysis. Strong knowledge of local and upcountry logistics, customs, and export procedures. Solid understanding of warehouse safety compliance, material handling safety, and basic HSE protocols. Demonstrated vendor negotiation skills with courier vendors and freight forwarders.
