The OpportunityAs the Procurement, Logistics and Administration Lead, you will be responsible for leading end-to-end procurement, vendor management, contract administration, facilities support, transportation services, travel management, and workplace administration. The role ensures operational efficiency, compliance, cost optimization, service excellence, and effective support for employees, visitors, and business stakeholders. This position serves as the primary point of contact for procurement governance, supplier management, logistics coordination, contract renewals, workplace services, and administrative operations while driving continuous process improvements and service-level performance. What You’ll DoProcurement & Vendor Management• Lead end-to-end procurement activities including Procurement Requests (PRs), Purchase Orders (POs), Requests for Payment (RFPs), petty cash, and cash advances. • Ensure compliance with company procurement policies, financial controls, and approval requirements. • Manage supplier sourcing, accreditation, onboarding, performance evaluation, and vendor relationships. • Maintain procurement records, dashboards, issue logs, and reporting metrics. • Monitor procurement SLAs, drive process improvements, and support audit requirements. • Partner with stakeholders to deliver cost-effective and timely procurement solutions. Contract & Financial Administration• Manage contracts, Master Service Agreements (MSAs), Statements of Work (SOWs), renewals, amendments, and terminations. • Maintain a centralized contract database and renewal tracker. • Coordinate invoice validation, payment processing, and Finance requirements. • Monitor procurement spend, payment status, and supplier documentation. • Ensure timely completion of contractual, legal, and financial obligations. Travel, Logistics & Transportation Services• Coordinate domestic and international travel arrangements including flights, hotels, transportation, and travel documentation. • Manage visitor logistics, airport transfers, accommodation arrangements, access requests, and meeting support. • Oversee company shuttle operations and transportation vendors. • Manage transportation schedules, utilization, vendor performance, service quality, and employee concerns. • Support executive visits, business events, workshops, offsite meetings, and special logistics requirements. • Ensure transportation providers comply with company safety, security, and service standards. Facilities, Administration & Workplace Services• Oversee reception, housekeeping, office maintenance, pest control, office supplies, mobile phone administration, and workplace services. • Coordinate with building management, facilities vendors, and service providers to maintain a safe and productive work environment. • Manage CADSYS requests, gate passes, visitor access, and related administrative requirements. • Support company activities, town halls, leadership meetings, employee events, and workplace initiatives. • Ensure compliance with applicable facility, safety, and security requirements. Concessionaire & Employee Services Management• Manage concessionaire and food service providers to ensure quality, safety, and employee satisfaction. • Oversee vendor accreditation, contract administration, renewals, and performance reviews. • Monitor food safety, sanitation, service quality, and compliance with company standards. • Coordinate catering and food service requirements for meetings, training sessions, town halls, and corporate events. • Address employee feedback and implement service improvements with concessionaire partners. Reporting, Governance & Continuous Improvement• Maintain procurement, contract, logistics, transportation, and administration dashboards. • Monitor KPIs, SLA compliance, vendor performance, contract renewals, and operational effectiveness. • Prepare monthly, quarterly, and annual management reports. • Support Power BI reporting, data governance, and business analytics initiatives. • Identify opportunities for process automation, cost savings, and service enhancements. Requirements• Bachelor's Degree in Business Administration, Supply Chain Management, Operations Management, Finance, or related field. • Minimum five (5) years of experience in Procurement, Administration, Logistics, Facilities Management, Supply Chain, or Corporate Services. • Experience in vendor management, procurement operations, contract administration, and financial coordination. • Advanced proficiency in Microsoft Excel, Power BI, and Microsoft Office applications. • Strong project management, analytical, and stakeholder management capabilities. • Experience supporting multinational or regional organizations. • Knowledge of procurement governance, supplier management, and contract lifecycle management. • Experience in handling travel, facilities, transportation, and workplace services. • Familiarity with ERP, procurement, finance, and contract management systems. • Certification in Procurement, Supply Chain, or Project Management is an advantage.
