The PositionWe are looking to hire an Order Management Specialist for the fixed term contract up to two years in line with the project timelines (1 year contract minimum with the possibility to extend beyond 2 years). The employment contract will be concluded by our vendor (an outsourcing recruitment agency) in service for Roche due to a project-based work scope. The Order Management Specialist ensures and is responsible to register and follow up until finalization all customer orders. Performs all tasks in accordance with customer requirements (date of delivery, quantity ordered, expiry date for the kits, a copy of order in the package, invoice via mail) and Roche Diagnostics standards. Optimizes the lead time between customer’s orders and deliveries, informing customers and tracking status of open orders as well as open items from past orders. Represents the company in front of customers and counterparts, documenting and forwarding to the responsible person within the company any issue communicated to be resolved. The Order Management Specialist will take over supply chain management duties for the firm and become instrumental in the forward growth of the company. You will report directly to the Business Operations Manager and will coordinate with many other departments to ensure an efficient daily workflow. The Key Areas of Responsibilities Maintain an excellent connection with the customers in regards of logistics topics and forwarding any other topic to the responsible department if required Responsible for claim handling Support on SAP and system updates implementation Handle the Company assets with care and according to the Company policy Propose actions in order to reduce costs Receive, register, centralize and follow up all customer orders, requirements and logistics claims according to assigned territory and prepare monthly reports in deadline Communicate and coordinate with the warehouse in regards of orders and deliveries, preparing dispatch documents for warehouse in accordance with Roche Standards, policies and procedures Support and assist on on-boarding process with respect to on job trainings Personal management and communication Ensure accuracy in all activities: outbound transport, transport mode, data/information, warehouse rules and procedures, material management, distribution planning, quality management, product allocation Ensure that all activities are completed timely and in the required quality Continuously update knowledge level over the Company products and standards Manage the monthly personal budget of expenses according to the Company policy Observe and apply company's quality management policy, the objectives for its fulfilment and the provisions of the approved work procedures/instructions in daily activities Propose preventive/corrective/improving actions required to both prevent the occurrence/reoccurrence of nonconformities and to improve activities Who You Are · University degree on the required area · 1+ year previous experience in order management area · SAP SD & Microsoft Excel knowledge required · Google suite and AI skills will be a plus · Self-driven with demonstrate accountability · Local language at native level and English fluency both written and spoken · Proactive approach when seeing "things are not moving forward" · Able to work independently, be resourceful and have solution-orientated mindset Our Candidate Selection Process We review all CVs and invite the shortlisted candidates (15-20 candidates) to a video-assessment first. After a thorough evaluation of the video-assessment we invite a shortlist of 6-8 candidates to the first interview with Manager. After the first interview we aim to invite 4-5 candidates to the final interview (preferred to meet in person in our affiliate in Bucharest).
