This role provides critical operational, recruiting, and internal movement support across the entire talent lifecycle—ensuring a smooth, high-quality experience for external candidates, internal applicants, hiring managers, and recruiters alike. You will manage key operational tasks spanning candidate sourcing support, interview coordination, internal mobility logistics, and pre-employment screening (background checks, drug testing, and medical questionnaires). This position requires clear communication and proactive collaboration with the Talent Acquisition team, internal stakeholders, and third-party vendors in a fast-paced environment. CORE RESPONSIBILITIES Screening Coordination: Manage and monitor all pre-employment screening processes, including initiating and tracking background checks, drug tests, and medical questionnaires. Candidate Communication: Serve as the primary point of contact for candidates regarding their pre-employment screening status, answering questions and providing clear, timely updates and instructions. Process Management: Actively follow up on pending or incomplete screening results with candidates and/or third-party vendors to ensure timely completion. Troubleshooting: Identify, troubleshoot, and resolve any issues or discrepancies that arise during the screening process with a high degree of urgency. New Hire Communication: Initiate and track new hire communications, ensuring candidates have the information they need for their next steps. Data & Systems Management: Maintain accurate and confidential records within the Applicant Tracking System (ATS), SmartRecruiters, and other tracking systems. Internal Mobility Coordination: Oversee the end-to-end internal hiring lifecycle—from tracking candidate eligibility and scheduling panel interviews to partnering with HR and hiring managers on transfer offers, start dates, and transition logistics. Full-Lifecycle Recruiting Support: Partner with recruiters to identify and track qualified external talent, manage complex multi-time-zone interview scheduling, and deliver timely, customer-focused candidate communications throughout the hiring process. SECONDARY SUPPORT RESPONSIBILITIES As time and priorities allow, you may also: Provide backup support for interview scheduling and coordination. Assist with general administrative tasks for the TA Operations & Talent Acquisition team, such as data entry or tracking. Support employee referral program processing (tracking referrals, answering questions). WHAT YOU WILL NEED TO BE SUCCESSFUL You are a self-starter who takes initiative and is skilled at working independently. You provide excellent customer service and believe in creating a quality candidate experience at each touch point. You are incredibly organized and enjoy prioritizing and multitasking in a high-volume environment. You have an impeccable skill for attention to detail. You react with appropriate levels of urgency to situations and events that require a quick response. Qualifications Education: High school diploma or equivalent. (Human Resources degree or coursework is a plus). Experience: 1-2+ years of relevant experience in Human Resources, Talent Acquisition, or a high-volume administrative operations role (internship experience considered). Technical Skills: Proficiency with Google Suite (Gmail, Calendar, Docs, Sheets). Core Competencies: Demonstrated ability to multitask, prioritize, and complete a high volume of tasks with little guidance. Exceptional verbal and written communication skills, with a focus on professional, clear, and service-oriented interaction. Make smart and timely decisions; understand when to take ownership and when to involve other parties. Strong problem-solving skills and the ability to think ahead and troubleshoot.
