This position reports to: Regional Service Operations Manager __ Your role and responsibilities In this role, you will manage the end-to-end Order-to-Cash (O2C) process for spare parts orders, from order intake and processing through delivery and invoicing, ensuring high service quality, operational efficiency, on-time delivery, and customer satisfaction across Southeast Asia and other assigned regions. You will work closely with Service Operations Managers, Field Service Engineers, Sales teams, Project Managers, and customers to ensure accurate and efficient spare parts delivery, in compliance with company procedures. The work model for the role is: Hybrid #LI-Hybrid This role is contributing to the Automation - Process Industries (AUPI) in Southeast Asia cluster. Main stakeholders include Service Operations Managers, Service Engineers, Sales Teams, Project Managers, Finance, Supply Chain, and Customers. You will be mainly accountable for:Receiving, reviewing, and processing customer spare parts purchase orders accurately in ERP system (SAP SD/MM), ensuring correct pricing, delivery terms, and lead times. Preparing and arranging timely and accurate delivery of customers' spare parts inquiries, including price lists, lead times, and availability. Issuing order confirmations and proactively communicating delivery status/updates, and changes to customers. Coordinating with warehouse and logistics teams to ensure on-time delivery, and resolving shipment issues promptly. Supporting invoicing process by ensuring accurate billing, verifying delivery completion, and following up on outstanding payments in coordination with the Finance team. Managing returns, complaints (e.g., short shipments, material discrepancies, incorrect or damaged parts), amendments, and credit/debit notes related to spare parts orders in line with company policy. Maintaining accurate and up-to-date order data, customer records, and reporting in ERP and CRM systems. Preparing regular O2C performance reports (e.g., order backlog, on-time delivery, order cycle time) and contributing to continuous process improvement. Channeling other complex technical or commercial matters to the appropriate teams when necessary. Qualifications for the role (Mandatory)Minimum 2–3 years of experience in order-to-cash (O2C) management, customer service, or inside sales, preferably in industrial or manufacturing environments with strong knowledge of ERP systems, preferably SAP (SD/MM). Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Teams, with the ability to manage and analyze operational data effectively. Strong organizational and multitasking skills with the ability to manage multiple priorities, meet deadlines, and maintain high attention to detail. Minimum Diploma in Business Administration, Engineering, Supply Chain, or related field. Bachelor's degree is an advantage. Fluent in English, both written and spoken. Must be legally authorized to work in Singapore without current or future employer sponsorship requirements. Understanding of incoterms, export/import documentation and familiarity with Letter of Credit (LC) process and documentation (e.g., LC terms review, document preparation, compliance with LC conditions) is highly regarded.
