Job Title: Administrative & Facilities Associate Job Description We’re looking for an organized and proactive Administrative & Facilities Specialist to ensure the smooth day-to-day operations of our Bucharest office. You’ll manage office services, vendors, and facilities while supporting employees, coordinating logistics, and maintaining a safe and efficient workplace. Perfect for someone who thrives in a dynamic environment and enjoys keeping things running seamlessly.What you will doOversee daily administrative and facilities operations, ensuring smooth office functionality Manage security procedures, access control systems, and visitor registration Maintain and update SSM & SU documentation (evacuation plans, fire safety, PRAM checks) Coordinate with vendors (cleaning, security, HVAC, courier, transport) to ensure high service standards Handle office logistics: workspace bookings (CMAP), correspondence, supplies, and inventory Manage company assets, including vehicle fleet and rented apartments Support procurement activities and ensure accurate recording of purchases in financial systems Coordinate transport, deliveries, and protocol-related activities Support internal and external events organization Collaborate with multiple departments and ensure timely resolution of requests Assist with office layout updates, space planning, and expansion projects Maintain records of inspections and technical documentation (fire detection, CCTV, HVAC, etc.) What we’re looking for Strong organizational and multitasking skills Attention to detail and a proactive, solution-oriented mindset Excellent communication and collaboration abilities Experience in administrative, facilities, or office management roles Ability to manage vendors and multiple stakeholders effectively Valid category B driving license and availability for occasional driving tasks Comfort working in a dynamic, fast-paced environment Location: ROU Bucharest - onsite Language Requirements: English B2 Time Type: Full time Why join us You’ll play a key role in shaping the day-to-day workplace experience, working in a collaborative environment where your impact is visible and valued.
