Receptionist & Office Administrator The Role The Receptionist & Office Administrator will provide a high standard of front-of-house and administrative support within the European Operation Centre, in Cork. The role is responsible for creating a welcoming and professional experience for employees, visitors and customers, while supporting the smooth day-to-day operation of the office. The role will have a particular focus on reception and visitor management, internal events, hotel and travel bookings, meeting room coordination, purchasing and the effective management of office access control systems. The successful candidate will be highly organised, customer-focused and proactive, with the ability to manage multiple priorities and respond confidently to the changing needs of a busy office environment. Key Duties & Responsibilities Provide a professional and welcoming reception service, including meeting and greeting employees, visitors and customers. Deliver a consistently high level of customer service to both internal and external stakeholders. Manage visitor access and support the effective operation of the office access control system. Coordinate hotel accommodation and related arrangements for visitors and employees attending the European Operation Centre in Cork. Support the planning and coordination of internal meetings, events and employee activities, including meeting room set-up and logistics. Coordinate meeting room bookings and ensure rooms are appropriately prepared for meetings and events. Assist with purchasing activities, including raising orders and liaising with suppliers as required. Provide general administrative support to the office and wider administration team. Develop and maintain effective administrative processes and identify opportunities for continuous improvement. Liaise with internal teams, external suppliers and service providers to ensure a high-quality office experience. Respond proactively to queries and issues, taking ownership through to resolution where appropriate. Qualifications / Professional Certifications A relevant qualification in Business Administration, Office Administration, Hospitality or a related discipline is desirable. Equivalent relevant experience will also be considered. Experience & Skills Required Minimum of 3 years’ experience in reception, office administration, hospitality or a similar customer-facing role. Strong customer service and interpersonal skills, with a professional and approachable manner. Experience working effectively within a busy, multicultural environment is desirable. Excellent organisational and administrative skills, with strong attention to detail. Ability to manage multiple priorities, work under pressure and meet deadlines. Proactive approach, with the initiative and confidence to identify and resolve issues independently. Strong team player who works collaboratively with colleagues and stakeholders. Good problem-solving skills and the ability to adapt to changing priorities. Strong communication skills, both written and verbal. Good working knowledge of Microsoft Office and general office systems. Fluency in English, both written and verbal, is essential.
