Make your mark for patients We are looking for a proactive, organized and collaborative Assistant to join our UCB Boost Unit team, based in our Headquarters in Brussels (Anderlecht) Belgium. About the role You will act as a trusted partner to one or more team leaders, helping them and their teams work efficiently and stay focused on key priorities. You will anticipate business needs, coordinate complex activities and provide accurate, high-quality administrative support with discretion and sound judgement. By connecting information, meetings and team discussions, you will help identify practical solutions, maintain momentum on actions and support well-organized ways of working. This role suits someone who enjoys learning, takes ownership and remains adaptable when priorities change. Who you’ll work with You will be working in a team that collaborates across locations and values quality, efficiency, accuracy and cost awareness. You will partner closely with team leaders, colleagues, other assistants and internal and external contacts. You will also support new joiners, contribute to team engagement and help create an inclusive, well-connected working environment. The role has a global scope and requires close coordination with colleagues. What you’ll do Anticipate leaders’ and team needs, manage priorities and calendars, and plan key activities well in advance to support an effective and balanced workload. Coordinate correspondence and information requests, assess priorities, follow up promptly and help ensure deadlines and commitments are met. Organize internal and off-site meetings, events and virtual sessions, including rooms, catering, technical support, transportation, agendas and preparation materials. Arrange business travel proactively, managing itineraries and bookings while adapting efficiently when plans change. Join project meetings, capture decisions and actions, follow up on deliverables, and keep relevant team members informed of progress. Create and update presentations, reports and team documents, using shared digital workspaces to support collaboration and efficient document management. Monitor budgets, cost centres, purchase orders, invoices, year-end accruals and expense submissions, helping the team maintain cost awareness. Support onboarding, team-building activities while handling confidential information with discretion. Interested? For this role we’re looking for the following education, experience and skills A bachelor’s degree, together with experience or clear potential to succeed in an administrative or team support role. Fluent written and spoken English; French or Dutch language skills are an advantage. Excellent planning and organizational skills, with the ability to manage several priorities, projects and stakeholders independently. Curiosity about AI technologies and innovative ways of working. Strong attention to detail and a consistent commitment to accurate, timely and high-quality work. Clear, professional communication skills and the ability to build effective relationships with leaders, colleagues, assistants and business partners. Proficiency with Microsoft Teams, PowerPoint, Excel and Word, plus the ability to learn new systems quickly. A proactive, adaptable and solution-focused approach, with the judgement to identify potential issues before they become problems. Discretion when handling confidential or sensitive matters, combined with reliability, resilience, openness to feedback and a positive team mindset.
